At Mind body and pole, we are committed to maintaining the trust and confidence of our website visitors and customers. We do not sell or trade email lists with other companies/businesses for marketing purposes – that’s just not our style. This Privacy Policy will provide lots of detailed information about when and why we collect your personal details, how we use it and how we keep it secure. We value our your data and do our utmost to protect your privacy. 
This policy is applicable to the Mind body and pole website www.mindbodyandpole.co.uk. Any externally linked website will have their own Privacy Policy which can be found on their website.

Types of data we collect
Website Cookies
Cookies are small pieces of text sent by your web browser by a website you visit. A cookie file is stored in your web browser and allows us or a third ¬party to recognise you and make your next visit easier and more useful to you.

This helps us to gather feedback to constantly improve our website for our visitors. Google Analytics
When someone visits www.mindbodyandpole.co.uk we use a third party service, Google Analytics, to collect standard internet log information and details of visitor behaviour patterns. We do this to find out things such as the number of visitors to the various parts of the site. This information is only processed in a way which does not identify anyone. We do not make, and do not allow Google to make, any attempt to find out the identities of those visiting our website. 

Mailing Lists
As part of the registration process for our monthly e-newsletter, we collect personal information. We use that information for a couple of reasons: to tell you about stuff you’ve asked us to tell you about; to contact you if we need to obtain or provide additional information; to check our records are right and to check every now and then that you’re happy and satisfied. You will need to opt-in to this service – we will not contact you without your consent. We don't rent, trade or sell email lists with other organisations and businesses.
We use a third-party provider, MailChimp, to deliver our newsletter. We gather statistics around email opening and clicks using industry standard technologies to help us monitor and improve our e-newsletter. For more information, please see MailChimp’s privacy notice. You can unsubscribe to general mailings at any time of the day or night by clicking the unsubscribe link at the bottom of any of our emails or by emailing us on mindbodyandpole@hotmail.co.uk 

Personal Details – Explicit and Informed Consent
In order to register with us, we will need to collect the following information from you; your full name, address, date of birth, health conditions, emergency contact details and various contact details. 
We will only use the data for the purpose for which it was collected. We need your personal information to administer our business activities; to provide the service and products you requested, to monitor the use of the service, for marketing and promotional purposes and to improve the service we offer and better tailor it to suit individual needs. Should you register with us, your details will only be shared outside of our team in a medical emergency. 

How do you store my personal information?
In most cases; your personal information is not stored directly with Mind body and pole. The following sites store your information and we merely access it remotely:

All of the above are GDPR compliant and you can access their Privacy Policies via their websites. Any paper documents held by Mind body and pole are held in accordance with the GDPR.

Who has access to my personal information?
Only those who need to see your information to fulfil the business requirements will be able to access your information and this will be on a ‘need to know’ basis. Personally identifiable information will never be shared with third parties unless required by law. 
We have a ‘private’ Facebook group for our current students which you are able to request to join via our Facebook page. You will not be added without explicit consent and you are free to leave at any time. If you are contacted via social media by our Instructors or students then it is your right to decline friendship/contact. 

How long do you keep my personal information?
The ‘Right to be Forgotten’ applies when the personal data collected is no longer necessary for the purpose in which we originally collected it for. 
PLEASE NOTE: It is a condition of our Insurance Policy to retain customer records for at least 7 years following the last session you attended with us. After this period, your information will be erased/disposed of securely.

Right to access and amend personal data
You can access and amend your information via your Team Up account at any time. 

Changes to this Privacy Policy
Last updated 25th January
 2023. You can check back at any time to review our policy via our website. You will be prompted to read and agree to any future updated versions if you are a registered customer via Team Up.
